# Outbound — AI Marketing Department

Outbound is the function that turns researched accounts into first conversations. It builds the contact list from the research shortlist, drafts sequenced email and social outreach in your voice, holds every sequence for approval before anything is sent, and sorts the replies so that your sales team steps in when a person is ready to talk.

## What it does

- Outbound starts where research ends. Each week it takes the accounts that research has shortlisted, finds the people at those accounts who own the problem you solve, and confirms that their contact details are current. From that list it drafts a sequence: a first message that refers to something specific about the account, and follow-ups that add a reason to reply rather than repeating the ask.
- Every sequence is written for one segment and one offer, in the voice your team already uses. Sending runs on a schedule inside the limits of your domain, so deliverability is protected. When a reply arrives it is sorted by intent, and the ones worth a conversation reach the right person on your team with the account brief attached.
- Outbound does not replace the conversation itself. Its job is to make sure the conversation happens with the right person, at a time they chose, and with the context your team needs to make it count.

## Automated

- List assembly: Contacts are pulled from the research shortlist, matched to the buyer roles in your ideal customer profile and deduplicated against your CRM, so no current customer or open opportunity is contacted.
- Enrichment and verification: Email addresses and profiles are verified before a sequence starts. Stale records are refreshed rather than sent to.
- Sequence drafting: First messages and follow-ups are drafted per segment from the account brief, in the tone and vocabulary set in your strategy.
- Scheduled sending: Approved sequences go out in waves, spaced within the sending limits of your domain, and pause on their own when a contact replies or unsubscribes.
- Reply sorting: Incoming replies are classified by intent: interested, not now, wrong person, out of office, unsubscribe. Each class follows a rule your team agreed in setup.
- CRM updates: Every send, reply and meeting is written back to the contact and account record, so the pipeline reflects outbound without anyone retyping it.

## Supervised by a person

- Sequence approval: No sequence is sent until a person on our team has read it and your team has approved the first version for each segment.
- Reply handling: A person reads every reply classified as interested or unclear before it is routed, and writes the response when a template does not fit.
- List review: Each new list is checked against your exclusions: current customers, open deals, competitors and anyone who asked not to be contacted.
- Deliverability: Sending domains, warm-up and bounce signals are tracked automatically. A person reviews them before each wave and pauses sending when they change.
- Message quality: Samples from every wave are read for accuracy and tone. Anything that reads as if a machine wrote it is rewritten before the next wave.

## A note from the CEO

Outbound carries your name into someone’s inbox. That is why I keep a person between the draft and the send. The automation makes the work continuous; the review is what makes it safe to run every day.

## What you receive

- Target list (Weekly): Contacts by account, role and verification status, with your exclusions applied.
- Sequence drafts for approval (Per segment, and whenever a message changes): First message and follow-ups per segment, with the account brief they draw from.
- Reply digest (Daily, on business days): Replies sorted by intent, showing which were routed to your team and which we answered.
- Booked conversations (As they happen): Meetings placed on the account owner’s calendar with the brief attached.
- Outbound section of the weekly summary (Weekly): What was sent, what came back and what changes in the next wave.
- Sequence review (Monthly): Which messages are working, which are retired and what the next test is.

## Questions

### How does AI support outbound?

It does the preparation and the bookkeeping. Automation assembles and verifies the list, drafts the sequence from the account brief, sends on schedule within your domain limits, sorts replies by intent and records every outcome in the CRM. People set the segment and the offer, approve each sequence, read the replies that matter and take the conversations.

### Who sends the messages, and from which address?

Messages go from addresses on domains your company owns, set up with whoever manages your domain, with deliverability checked before each wave. Sending is automated once a sequence is approved. The sender is a real person on your team; it is never an invented persona.

### What happens when someone replies?

The reply is classified by intent. An interested reply is read by a person, then answered or routed to the account owner with the brief attached, and the contact leaves the remaining steps of the sequence. Unsubscribes and wrong-person replies follow the rules agreed in setup, and every outcome is written to the CRM.
