Privacy Policy

Effective September 15, 2026. Updated September 16, 2026.

1. Information We Collect

We collect information you provide directly to us, including name, email address, phone number, company information, and project details when you fill out forms, contact us, or engage our services. We may also collect usage data when you visit our website.

2. How We Use Your Information

We use the information we collect:

  • To provide, maintain, and improve our services
  • To communicate with you about projects, proposals, and updates
  • To process payments and send billing information
  • To send marketing communications (with your consent)
  • To comply with legal obligations

3. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information with trusted service providers who assist us in operating our website and delivering services, subject to confidentiality agreements.

4. Client Portal: Review Folder and Intake

Clients work with us through a private portal. Two parts of it hold material that belongs to your organization: the review folder, where deliverables wait for your decision, and intake, where requests made in email, chat and meetings are written down so your task list stays current. This section says what we store for those two parts, where, for how long, and who processes it. Sections 1 to 3 apply to the portal as well; this section adds to them.

What we store

  • Files you or Aryeh Algorithms add to the review folder, such as documents, spreadsheets, page copy and drafts, with each file's name, type, size and version history.
  • Transcripts and exports that you or Aryeh Algorithms upload for your organization, such as a meeting transcript or a chat export, including the text, the names of the people who spoke or wrote, and the dates and times.
  • Task records made from that material: the request in the words the person used, who asked and when, and the notes, questions and decisions attached to it.
  • Approval decisions, delivery notes, comments, and the record of who did what and when.

Connecting a mailbox, chat workspace or meeting account is a separate step. It happens only after your organization authorizes it, in the portal or in writing, for that source and with a retention period recorded at the time. Until then, nothing is read from those accounts. Reading is one way: nothing is sent, replied to or published on your behalf, and nothing leaves the portal without a person's approval.

Where it is stored

Files are kept in private object storage and records in the portal's database. Both run with providers listed by category below, are reachable only through the portal, and are kept apart for each client organization. Links to download a file are short-lived and are issued only to signed-in members of the organization the file belongs to.

How long we keep it

  • Source text, such as transcripts, exports and uploaded messages, is kept for 90 days by default, counted from the date the message or meeting took place. Your organization can set a different period when it authorizes a source. When the period ends we remove the text and the names in it and keep only the subject, the date and a reference, so the history of a task still makes sense. Files your organization uploads stay until it removes them or disconnects the source.
  • Files in the review folder, task records, decisions and activity are kept for the life of the engagement plus 12 months.
  • On request from your organization we delete sooner: one person's messages, one source, or everything we hold for your organization. Disconnecting a source removes the messages we hold from it.

Who processes it

We use service providers to run the portal. They act on our instructions under written agreements, and we list them by category:

  • Hosting for the portal, its database and its background processing
  • Email delivery for portal notifications
  • File storage for the review folder and uploads
  • An AI model provider, which processes text from sources your organization has authorized, under our commercial agreement with that provider, so that requests, notes and questions can be drawn from the text for a person to review
  • The mail, chat and meeting platforms your organization already uses, when your organization connects them

This policy and the portal name no provider. The current list is available on request at the address in section 10.

Your choices

Your organization's owner can see in the portal what is connected, since when, and the retention period that applies, and can pause or disconnect a source. Any member can ask us to correct or delete a record about them. Send requests to the address in section 10; we confirm when it is done.

5. Cookies and Tracking

We retain your personal information for as long as necessary to fulfill the purposes outlined in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. The retention periods for the client portal are in section 4.

8. Your Rights
